How-to guide and FAQ for ShrinkGuard: Loss Ledger

Shopify tracks what you sell, not what you lose. ShrinkGuard is the ledger for the other side: record shrinkage, theft, damage, expiry, samples, and vendor returns, run guided cycle counts, and get costed write-off reports your accountant can use.

Getting started

1. Check your costs. ShrinkGuard values every lost unit at the Cost per item set on the variant in Shopify. Variants without a cost still get recorded, but their loss value shows as zero until you add one.

2. Record a loss. On the dashboard click Record a loss, pick the product and variant, enter the quantity, choose a reason and location, and add an optional note. ShrinkGuard removes the units from available stock (never below zero), values them at cost, and adds the entry to the ledger.

3. Undo if needed. Every ledger entry has an Undo link that restores the stock and removes the entry.

Running a cycle count

1. Open Cycle count, choose the location, and click Add products to build the count sheet.

2. Enter the counted quantity for each row. The sheet shows the expected quantity from Shopify and the live variance.

3. Choose a shortfall reason and post the count. Shortfalls are recorded as costed losses and stock is adjusted to match what you counted. Recent counts stay listed with their matched, short, and loss-value totals.

Reports and exports

The Reports page breaks write-offs down by reason, location, vendor, and worst-offender products for any period. The Export accounting CSV button produces a file you can post in QuickBooks, Xero, or a spreadsheet.

Migrating from Stocky or another tool? Use Bulk import losses on the dashboard to load your history from a CSV so your reports start with real numbers.

Automated reports and alerts

In Settings you can have the costed loss report emailed monthly or weekly, include a spike alert when the last 30 days are well above your recent average, post the same report to a Slack or webhook URL, and set a dollar threshold that sends a once-a-day alert when trailing 30-day loss exceeds it.

Custom reasons (for example "Freezer failure") can be added in Settings and appear everywhere you record or filter losses.

FAQ

Does recording a loss change my Shopify inventory?
Yes. Available stock is reduced by the quantity you enter, capped at zero. Undo restores it.

Does the app read orders or customers?
No. It uses product, inventory, and location data only, and never customer or order data.

Multiple locations?
Supported. Losses and counts are recorded per location and reported by location.

What is the price?
$9.99 per month, or $99.90 per year, with a 14-day free trial, billed through Shopify.

What happens when I uninstall?
Export your reports first. Shopify tells the app to erase your store's data after uninstall, and ShrinkGuard deletes the ledger, counts, and settings.
